Connecting iWork Apps (Pages, Numbers, Keynote) With My Docs Online

iWork apps for iPad and iPhone (Pages, Numbers, and Keynote) can be coupled with My Docs Online by using iWork’s WebDAV support.

Initial setup is done while editing a document:

With your document open, in the toolbar tap the Tools icon.
From the list of options, tap Share and Print.
From the Share and Print window, tap the Copy to WebDAV option.
When the WebDAV Sign In window appears, enter https://webfolders.mydocsonline.com, your user name, and password into the appropriate fields.
Tap Sign In in the upper-right corner of the window.

Copy a document to My Docs Online:

Open the document you want sent to your My Docs Online account, then tap the Tools icon in the toolbar.
Tap Share and Print, then tap Copy to WebDAV.
Tap the document format you want to export to: iWork for iOS document, Microsoft Office, or PDF.
In the list of folders, tap the one in which you want to save the document. Tap Copy in the upper-right corner of the window.

Copy a document from My Docs Online:

With all your iWork for iOS documents closed, click the “+” icon at the top left of the display.
Navigate to the file you want to copy by tapping the folder in which it’s located.
Tap the name of the document you want to copy. The document downloads and opens in your iWork for iOS app.

Once a new or updated file has been copied from iWork to My Docs Online, you can use the new My Docs Online browser interface, which is iPad-friendly, to Share files.

Using Web Folders/WebDAV from an iPad or iPhone

Access your My Docs Online account from an iPad, iPhone or iPod Touch with OverTheAir from MicaRed, Inc, available free in the Apple iTunes App Store.

OverTheAir Version 1.7 configuration:

Launch OverTheAir
Select My Docs Online from the pre-defined server list
Enter your My Docs Online User ID and Password

Tap to navigate My Docs Online folders. Tap to open supported file types, which include by default Microsoft Office documents, Adobe PDF, most graphic file types, and any file types supported by other installed products.

Because of the way iOS controls access to files belonging to one app from another app, you can’t use OverTheAir to upload files from other applications, including iWork apps. You can, however, use the WebDAV support built in to iWork to upload files from apps such as Pages, Numbers, and Keynote.

Using Web Folders / WebDAV From an Android Device

You can access your My Docs Online account on Android devices (phones and tablets), for opening and viewing files in locally-installed apps such as Documents To Go or various PDF viewers, by using a WebDAV app.

One WebDAV app known to work is WebDAV Navigator and WebDAV Navigator Lite (free).

Configuration steps for WebDAV Navigator (Add Server):

Name: My Docs Online

Server URL: https://webfolders.mydocsonline.com

User ID and Password: Your My Docs Online Login ID and password

Once logged in simply navigate to a folder and tap a file to download and open (you have to have an app that can handle the files types you use).

Web Folder / WebDAV setup instructions

Setting up a Web Folder (or webfolder) in Windows varies by Windows Version. These articles describe the steps involved for each version of Widows. The Mac OS X WebDAV instructions are the same for all versions of OS X. iPad and Android instructions are for preferred WebDAV apps.

How to use File Locking with Excel

Use MDO File Locking when you are sharing an Excel spreadsheet with others. A file lock is used to prevent two people from opening and updating the same spreadsheet at the same time, resulting in one person’s updates wiping out the other’s.

File Locking is available for Excel in the My Docs Online Desktop App, which works with all versions of Windows and Mac OS X, all versions of Microsoft Office Excel, and other spreadsheet applications such as OpenOffice.

To use the Desktop App for File Locking follow the following steps:

Select the Excel spreadsheet you have previously uploaded to My Docs Online and click “Lock & Open”
The spreadsheet will be locked on the MDO servers, downloaded to your PC or Mac, and opened for editing
After completing your editing Save & Close the spreadsheet in Excel
In the Desktop App Click “Save & Unlock” for the document. Your changes will be uploaded to the MDO servers and the spreadsheet will be unlocked. The date and time for the file will be updated

If you change your mind and need to discard your changes right-click the file in the Desktop App and select “Unlock without Saving”.

The WebDAV protocol used by Web Folders also supports File Locking for Microsoft Excel, including Windows XP, Windows Vista 32-bit Editions, and Windows 7, and Office 2003, 2007, and 2010. The latest combination of Windows and Office 2010 is less reliable than previous versions of Windows and Office.

The Desktop App and Web Folders can work in combination. For instance if one user opened an Excel spreadsheet with Web Folders a Desktop App user would not be allowed to Lock and Open the same file at the same time.

Using a My Docs Online WebDAV server to synchronize OmniFocus with your iPhone, iPad or iPod Touch

OmniFocus provides professional grade task management software for Mac users. With the introduction of the new iPhone, iPad and iPod Touch versions of OmniFocus it is now possible to synchronize your OmniFocus tasks through either MobileMe or through the use of a WebDAV server. If you have an existing My Docs Online account you can use it to process your synchronizations.

Lock folders to prevent accidental folder deletion

It’s easy to accidentally move or delete a folder using Web Folders if a user has “full control” of a folder.

To avoid this happening administrators can use the “Lock” feature visible in the browser interface when logged on as the account Administrator.

Go to the high-level folder that should never be moved or deleted by one of your users. If the folder is not locked a “Lock” button will appear. Click to Lock the folder. If a folder is already locked the button will say “Unlock” and you can click it to set the folder back to the normal, unlocked condition.

The Lock is effective only in the Web Folder / WebDAV interface, and only if you are not the administrator.

Windows 7 Web Folder Error 0×80070021: The process cannot access the file because another process has locked a portion of the file

Windows 7 Web Folder / WebDAV users may see Error 0×80070021: “The process cannot access the file because another process has locked a portion of the file” if a folder name ends with a period (“.”).

This is caused by a problem with Windows 7 that removes the period at the end of a folder name when requesting a list of items in the folder from the server, which results in the folder not being found. The reference to the file being locked is not relevant.

The simplest solution is to rename the folder to remove the period at the end (periods within the folder name do not cause a problem).

If possible use the browser interface at www.mydocsonline.com to make the change, then “refresh” your web folder view (F5 or “View…Refresh”) to see the change.

NOTE: if your users have shortcuts to folders at or below the changed folder the shortcuts will need to be changed as well. MDOSDK configuration files, if in use for the folders involved, will also have to be changed to reflect the changes to the folder path (MDOpath).

Switch IDs when using Web Folders

When using a Web Folder Network Place, Windows will tend to “lock” your access to the current ID, which can cause problems if you need to switch to another ID or account.

Depending on which web folder server you use, try the following links to force a logoff, which will cause Windows to ask for your ID and password, allowing you to enter a new ID:
